Summary
The executive assistant’s function is to be the primary administrative assistant for the Owners and Executive team. They assist the management team to meet company objectives, and ensure that consistent, efficient workflows are in place, yielding optimal productivity and performance.
Primary Responsibilities:

  1. Learn, understand, and embrace the culture of the franchise.
  2. Plan and orchestrate work to ensure the executives’ priorities are met, organizational goals are achieved, and best practices are upheld.
  3. Mange the schedules for company executives.
  4. Coordinate travel arrangements, prepare itineraries, plan logistics, and submit expense reports.
  5. Screen incoming phone calls, inquiries, visitors, and correspondence.
  6. Prepare financial statements, reports, memos, invoices, letters, and other documents.
  7. Perform meeting preparation, record meeting discussions, and provide minutes.
  8. Provide general administrative support to the executive team.
  9. Maintain inventory and office supplies.
  10. Build and maintain trusted relationships with directors, managers, key customers, clients, and partners.
  11. Coordinate finances, assist with budget preparation.
  12. Handle basic bookkeeping tasks.
  13. Continue professional and personal development of leadership, management, and teambuilding, skills.
  14. Maintain a high degree of tact and confidentiality.
Secondary Responsibilities:
  1. Other tasks/duties as required by employer.
Necessary Experience and Skill Set:
  1. Proven experience as an executive assistant or other relevant administrative support experience.
  2. Strong time-management, problem-solving, decision making, and organizational skills.
  3. Ability to organize and coordinate multiple projects at once.
  4. Professional level verbal and written communication skills.
  5. In-depth understanding of entire MS Office suite.
  6. Working knowledge of the various social media web platforms.
  7. Ability to take initiative.

Normal Working Hours, Additional Working Hours, and Travel Requirements: This is a full-time position working varying hours between 7:00 a.m. and 7:00 p.m., Monday–Friday and not often, over the weekends when owners have a question or need information on occasion.
